What is Ringless Voicemail?
Ringless Voicemail lets you send a voicemail directly to your contact’s inbox - without their phone ringing. It’s a simple, non-intrusive way to reach leads and customers with a more personal touch.
How to Send a Ringless Voicemail
Sending a ringless voicemail works a lot like sending a text broadcast.
Step-by-step:
Go to your Outbound page and select Broadcasts
Click +New Broadcast
Switch the Broadcast to Ringless
Fill out the details:
Broadcast Name – for your internal tracking
Audio Message – record a message or upload a file
Text-to-Speech (optional) – generate a voice message (including custom voices)
Send From – choose your number or sending method:
individual phone (if only 1 number is in the inbox)
Scaler option (broadcast will be sent randomly either from local or toll-free numbers)
Local presence (broadcast will be sent from local number only)
Contacts – select who will receive the voicemail
Send Now or Schedule Later
Click Review & Send

Set Up Recurring Voicemails
Want to send voicemails automatically on a schedule?
You can create recurring ringless broadcasts to stay in touch with contacts over time.
How it works:
Go to your Outbound page and select Broadcasts
Select Recurring
Click +New Broadcast
Switch the Broadcast to Ringless
Use the Recurring scheduling option
Choose frequency (daily, weekly, monthly)
This is great for consistent follow-ups without manual work.

To view performance:
Go to Broadcasts
Open the Ringless Voicemail tab
Select your broadcast
💡 Tip: Ringless voicemail works best with mobile and landline numbers. Some VoIP numbers may not receive messages reliably.
Send Ringless Voicemail with Triggers
You can automate voicemails using triggers and webhooks.
Basic setup:
Go to your Outbound page and select Triggers
Click +New Trigger
Select Ringless Voicemail
Configure:
Trigger name
Audio Message
Sending inbox
Tags
Create the Trigger
Save and use the generated webhook URL
To use the trigger, copy its URL and integrate it with any software that supports webhooks. Be sure to include the phone parameter to enable Ringless Voicemail sending.

Sending Ringless Voicemail from Your CRM
Ringless voicemails can also be sent from your CRM - for example a Salesforce Flow, a HubSpot Workflow, or an ActiveCampaign automation - using a Salesmsg action or trigger.
CRM action status vs. Salesmsg status
When you send from a CRM, you'll see a status in both places, and those two statuses answer two different questions:
Your CRM reports whether the action ran - in other words, whether the request was successfully handed off to Salesmsg.
Salesmsg reports the delivery result for that individual contact, as returned by the carrier.
Because of this, it's normal to see a Salesforce Flow (or HubSpot Workflow) marked Completed / Success while the same contact shows Failed in Salesmsg - for example with a Voicemail Not Detected error. This is expected and does not mean something is broken. A successful CRM action only confirms the request was accepted; it is not a delivery confirmation.
👉 Salesmsg is always the source of truth for delivery. To check whether a voicemail was actually deposited, look at the contact's conversation in Salesmsg, or the statistics for the relevant trigger or broadcast - not the status in your CRM.
💡 Keep in mind that ringless voicemail connects to the carrier's voicemail server directly, so the recipient's device may ring briefly during the attempt even when no message ends up being left. See Ringless Voicemail Error Reasons for what each status means.
Limits & Rules to Know
To ensure delivery and stay compliant:
Sending hours: Ringless Voicemails can only be sent during TCPA hours of 8AM– 9PM (recipient’s local time)
Frequency limit: Max 3 messages per contact every 3 days. For best deliverability, space your sends to the same contact 48–72 hours apart. Sending multiple voicemails to one person in a short window increases the chance carriers will filter them.
Message length: 15 seconds to 2 minutes 59 seconds
Voicemail required: The recipient must have voicemail enabled

My Salesforce Flow (or HubSpot Workflow) says the voicemail was sent successfully, but Salesmsg shows it as Failed. Which one is correct?
Both. Your CRM confirms the action ran and the request reached Salesmsg. Salesmsg shows what the carrier actually did with the voicemail deposit. Salesmsg is the source of truth for delivery.
Should the status in my CRM always match the status in Salesmsg?
No - and a mismatch is expected. The two statuses measure different things, so a CRM action can show Success while an individual contact shows Failed in Salesmsg.
Where do I check whether a voicemail sent from my CRM was actually delivered?
In Salesmsg - open the contact's conversation, or review the statistics for the trigger or broadcast that sent it.
What does "Voicemail Not Detected" mean?
No usable voicemail box could be reached on that attempt. Common causes include a voicemail box that isn't set up, isn't initialized, or is full, as well as carrier-level filtering. See Ringless Voicemail Error Reasons for the full list of statuses.
What if I don’t have enough credits?
You’ll be prompted to purchase more before sending.
How do I choose recipients?
Use Tags to group contacts, then select that tag when creating your broadcast.

What to Expect from Delivery
Ringless voicemail delivery depends on factors outside of Salesmsg’s control, so some variation is normal:
Typical delivery rate: For deliverable numbers (valid mobile numbers with voicemail enabled), expect roughly 60–85% of voicemails to land. A rate in this range is normal and not a sign of a platform issue.
Carrier-side filtering: Carriers (such as T-Mobile and Verizon) may filter voicemails after they’re submitted. When this happens, the status shown in Salesmsg may not always match what actually reaches the recipient’s device. This filtering is controlled by the carrier and is outside of Salesmsg’s and our delivery provider’s control.
CRM statuses: If you send from a CRM, the action status there reflects the handoff to Salesmsg, not the delivery outcome. See Sending Ringless Voicemail from Your CRM above.
Troubleshooting Tips
If your messages aren’t being delivered:
Check the status in Salesmsg rather than in your CRM, and read the specific error on the contact (see Ringless Voicemail Error Reasons)
Check that your audio file is valid and within the time limit
Make sure you’re sending during allowed hours - TCPA hours (8am-9pm in the contact's local time)
Confirm you haven’t exceeded frequency limits
Verify your contacts have valid mobile/landline numbers using Phonecheckr (Many VoIP numbers have mixed deliverability)
Ensure voicemail is enabled on the recipient’s phone
