The purpose of this article is to describe how one could create a custom report on a HubSpot dashboard to visualize the number of SMS messages sent & received by the HubSpot contact owner.

Let's be real, who doesn't want pretty graphs to visualize actionable data.

Here's an example of the reports you can run once you set this up...


Step 1: Create Your HubSpot Custom Properties

First, you will need to create a few HubSpot Custom Properties in order to start to track and calculate your SMS messages that occur on Salesmsg.

Property Name

Field Type

Salesmsg: Last SMS Received Date

Date picker

Salesmsg: Last SMS Sent Date

Date picker

Salesmsg: Total SMS Received Count

Number (unformatted)

Salesmsg: Total SMS Sent Count

Step 2: Create Your Workflows

To set this up to track your sent and received texts, we'll need to create two Workflows.

Workflow #1: Track SENT Text Messages

Trigger

By creating this Trigger, any sent SMS on Salesmsg will enroll the contact in this Workflow.

Next, be sure to set the Re-Enrollment to run anytime the criteria is met.

Action 1: Set the Last SMS Sent Date Property

  1. Select Set property value

  2. Select Salesmsg: Last SMS Sent Date property

  3. Select Date of step.

Action 2: Increment property value

  1. Select action Increase or Decrease property value

  2. Select Salesmsg total SMS sent count

  3. Set increment numeric value by 1


Workflow #2: Track RECEIVED Text Messages

Next, be sure to set the Re-Enrollment to run anytime the criteria are met.

Trigger

By creating this Trigger, any Received SMS on Salesmsg will enroll the contact in this Workflow.

Action 1: Set the Last SMS Received Date Property

  1. Select Set property value

  2. Select Salesmsg: Last SMS Sent Date property

  3. Select Date of step.

Action 2: Increment property value

  1. Select action Increase or Decrease property value

  2. Select Salesmsg total SMS Received count

  3. Set increment numeric value by 1

That's it! Now turn ON your Workflow and it'll work automatically from here on out.

Salesmsg will populate your new HubSpot properties with data like this...

Step 3: Create the custom report for sent

  1. Navigate to the Reports page, located under the Reports tab

  2. Select "Report Library"

  3. Select "Create custom report"

Select a Single Object report type using Contacts.

On the Data tab, add the SMS Sent Quantity contact property & Contact Owner.

  • Click the Visualization tab, select the Donut chart type.

  • In the Displaying section add the Contact Owner property.

  • In the Measured by section, add the SMS Sent Quantity property.

Step 4: Create the custom report for received

  1. Navigate to the Reports page, located under the Reports tab

  2. Select "Report Library"

  3. Select "Create custom report"

Select a Single Object report type using Contacts.

On the Data tab, add the SMS Received Quantity contact property & Contact Owner.

  • Click the Visualization tab, select the Donut chart type.

  • In the Displaying section add the Contact Owner property.

  • In the Measured by section, add the SMS Received Quantity property.

Step 5: How to use and interpret

  1. Navigate to your reports page

  2. Open your desired report

  3. Change the date property to the desired reference point

  4. Change the date range to view the desired time frame

What is the difference between this and Salesmsg Analytics

This report shows you messages sent or received by the total amount of a single message regardless of the size or type of message.

Does this track the total amount of messages that are sent from workflows as well as one-off messages my team executes?

This tracks any and all messages sent or received as long as the contact who is involved in the correspondence has a valid Salesmsg x HubSpot user as their contact owner.
